Title: How Can I Back Up IMAP Emails Before Changing Email Providers? - Williams Welsh - 10-16-2026

I’m planning to switch email providers and want to keep a local copy of my existing IMAP emails before making any changes. My main concern is preserving the original folder structure, attachments, and older messages rather than simply forwarding important emails to another account.

What is the most reliable way to back up an IMAP mailbox without depending entirely on the original email server? I would also like to know which file format is best for long-term storage and whether the backup can be opened later without reconnecting to the old account.

For a straightforward backup, I’m considering formats such as MBOX or EML, while PST may be more convenient if the data will eventually be used with Outlook. PDF could be useful for retaining selected messages as readable records, but it would not be my first choice for restoring a complete mailbox.

I also found the SysInfo IMAP Backup Tool, which supports exporting IMAP email data into multiple formats. Before choosing any utility, I would test it with a small folder and verify message content, attachments, dates, and folder organization.

Has anyone completed an IMAP-to-local backup before migrating providers? Which format worked best for you, and what should I check to avoid missing older emails?
