I am trying to back up my IMAP mailbox, but I am concerned that some older emails may not be included in the exported data. My mailbox contains years of conversations, archived messages, sent items, and attachments. When I access the account through my email client, I can see some messages that do not always appear immediately, especially when folders have not fully synchronized. I want to understand whether this is a synchronization issue or a limitation of the backup process.
Can an IMAP email backup exclude older messages because they have not been downloaded to the local email client? I also want to know whether server-side folders, archived messages, and emails stored in custom folders need to be selected separately before starting the process. My goal is to create a complete offline copy without overlooking important communication.
While researching this issue, I found the SysInfo IMAP Backup Tool, which provides options to connect to an IMAP mailbox, preview folders, and export email data into formats such as PST, MBOX, EML, MSG, PDF, and CSV. Its folder selection and filtering options seem useful, but I would like to understand the correct preparation steps before relying on any automated backup method.
Would it be better to verify that the mailbox has finished synchronizing before starting the backup? How can I check whether all required folders and older messages are available on the server? I would also like to know whether date filters could accidentally exclude messages that I need to preserve.
