What Should I Check Before Migrating Emails to a New Server?
#1
Our organization is preparing to move its email accounts to a new server, and I want to avoid problems during the transition. The mailboxes contain important business correspondence, attachments, and historical messages that employees need to access after the migration.

Before starting, I believe it is important to check whether the source and destination servers support the intended migration method. IMAP, Exchange, and other email environments can have different authentication requirements, connection settings, and data-handling limitations. Assuming that every account can be transferred using the same configuration may lead to unnecessary failures.

Mailbox preparation is another important step. Administrators should identify account sizes, verify credentials or application permissions, confirm destination mailbox availability, and check whether sufficient storage is available. It is also worth identifying inactive accounts, shared mailboxes, and any data that requires special handling.

I would recommend migrating a small group of accounts first and reviewing the results before proceeding with the remaining users. During the pilot, check message counts, attachments, folder organization, timestamps, and access to important correspondence. A documented checklist can help the IT team track successful transfers and investigate failed items.

Choosing a suitable mail migration tool can make the process more manageable, particularly when multiple mailboxes are involved. The SysInfo Email Migration Tool is an option to evaluate for supported migration requirements. Before using it, confirm compatibility with the existing mail environment and test the required migration workflow with sample data.

Organizations that need help planning or executing larger email transitions can also explore mail migration services from SysInfo alongside its software.
