How Can I Prevent Duplicate Emails in an IMAP Archive?
#1
I am working on an IMAP mailbox archiving project and have noticed that duplicate messages can become a problem when the same mailbox is backed up more than once. Some emails appear in multiple folders, while others may have been copied or moved by users over time. I want to avoid creating redundant records in the final archive without accidentally removing legitimate messages.

This is particularly important when archiving business correspondence. Two messages may have the same subject and sender but contain different attachments or timestamps. A basic comparison based only on the subject line would not be reliable enough.

I am trying to understand how duplicate detection should work during an IMAP backup. A few technical questions have come up:
  • Should duplicate detection compare Message-ID headers, message content, or both?
  • How should messages without a valid Message-ID be handled?
  • Can emails with identical content but different folder locations be treated as duplicates?
  • What happens when two messages have the same subject but different attachments?
  • Is it safer to compare exported message counts before and after duplicate removal?
  • Can duplicate removal be applied without changing the original mailbox?

I found the SysInfo IMAP Backup Tool, which lists a duplicate-removal feature along with folder selection and multiple export formats. I am considering testing it on a small mailbox first and comparing the results against the original folders.

My main concern is preserving the correct message records. For example, an email copied into two folders might be intentional, especially when users organize correspondence by project or department. Removing one copy could affect the way the archive is organized.

For administrators who have handled duplicate IMAP messages, what criteria do you recommend for identifying genuine duplicates? Do you prioritize Message-ID, content hashes, or a combination of message attributes? I would also appreciate suggestions for validating the archive after duplicate removal.
